This Standard Operating Procedure (SOP) establishes a comprehensive quality check framework for the FreshMeat4U platform, ensuring that every product delivered to a customer meets the highest standards of freshness, hygiene, and food safety. The procedures defined here are designed to maintain the cold chain from the point of preparation through delivery, prevent contamination, and ensure compliance with all applicable food safety regulations. Quality is the cornerstone of the FreshMeat4U brand, and this SOP ensures that every stakeholder in the delivery chain understands and upholds our quality commitments.
This document provides a structured approach to quality assurance at every critical touchpoint — from the shop level through rider handoff, transit, and final delivery. It also defines clear rejection criteria, complaint handling procedures, and corrective action protocols to address any quality deviations swiftly and effectively.
2. Scope
This SOP applies to all products sold and delivered through the FreshMeat4U platform within Vadodara, Gujarat. It covers all product categories including mutton, chicken, fish, seafood, and eggs. The procedures apply to all registered shop vendors, delivery riders, and FreshMeat4U operations and quality assurance staff. Quality checks must be performed at three critical stages: at the shop before handoff, at the point of rider pickup, and during transit.
This SOP also governs the handling of customer quality complaints, the documentation and logging of all quality-related activities, and the enforcement of corrective actions against non-compliant vendors or riders. It is binding on all parties operating under the FreshMeat4U platform and is subject to periodic audit and revision by the quality assurance team.
3. FSSAI Compliance Requirements
All shops registered on the FreshMeat4U platform must hold a valid FSSAI (Food Safety and Standards Authority of India) license appropriate to their business category. The FSSAI license number must be displayed prominently on the shop premises and on the FreshMeat4U platform listing. FreshMeat4U conducts periodic verification of FSSAI license validity and will delist any shop found operating with an expired, invalid, or fraudulent license.
In addition to holding a valid license, all shops must comply with the Food Safety and Standards (Licensing and Registration of Food Businesses) Regulations, 2011, and any subsequent amendments. This includes maintaining proper hygiene and sanitation standards, ensuring safe water supply, proper waste disposal, pest control measures, and the health and hygiene of all food handlers. Shops must also comply with the specific regulations applicable to their product category — for example, the Food Safety and Standards (Meat Products) Order for meat vendors and the Food Safety and Standards (Fish and Fish Products) Order for seafood vendors.
FreshMeat4U reserves the right to conduct unannounced inspections of any registered shop to verify FSSAI compliance. Non-compliance identified during these inspections is documented, and corrective actions are initiated as per the procedures outlined in this SOP. Repeated or serious non-compliance may result in temporary suspension or permanent delisting from the platform.
4. Quality Checks at Shop Level
4.1 Daily Opening Check
Every shop must perform a comprehensive opening check before beginning operations each day. This includes verifying that all cold storage units are functioning correctly and maintaining the required temperature range of 0°C to 4°C. The shop must inspect all preparation surfaces, cutting tools, and utensils for cleanliness and proper sanitation. Food handlers must be in clean attire, wearing hairnets, gloves, and aprons. The shop must also verify that all packaging materials are within their expiry dates and stored in a clean, dry area. The results of the daily opening check must be logged in the shop's quality checklist on the vendor app.
4.2 Cold Storage Temperature Log
Shops must maintain a continuous temperature log for all cold storage units. Temperature readings must be recorded at least three times per day: at the start of operations, at midday, and at closing time. Each reading must include the unit identifier, the temperature in degrees Celsius, the time of recording, and the name or ID of the person recording it. If any reading falls outside the acceptable range of 0°C to 4°C, the shop must immediately investigate the cause, take corrective action (such as adjusting the thermostat or calling for equipment repair), and log the incident with a detailed explanation.
4.3 Meat Freshness Assessment
Before packing any order, the shop must perform a visual and olfactory assessment of the meat product to ensure freshness. Fresh meat should have a natural, uniform color appropriate to its type — bright red for mutton, pink for chicken, and clear, bright eyes and firm flesh for fish. The meat must not exhibit any discoloration, slime, or unusual texture. There must be no foul, sour, or ammonia-like odor. The shop must also check the product's shelf life and ensure it is well within the use-by date. Any product that shows signs of spoilage or is within 24 hours of its use-by date must not be dispatched and must be removed from inventory.
4.4 Packaging Integrity
All products must be packed in food-grade, leak-proof packaging that is appropriate for the product type. Packaging must be intact, clean, and free from any tears, punctures, or contamination. Vacuum-sealed packaging is preferred for maintaining freshness and preventing leakage. Each package must be labeled with the product name, weight, packing date and time, and the shop's FSSAI license number. The shop must use tamper-evident seals or labels to ensure that the package has not been opened or tampered with between packing and delivery.
5. Quality Checks at Handoff
The handoff from the shop to the delivery rider is a critical quality checkpoint. The rider must verify that the package is properly sealed with the FreshMeat4U tamper-evident label or seal intact. The rider must confirm that all items listed on the order manifest are present in the delivery package. The rider is required to take a temperature probe reading of the packed order at the time of pickup and log it in the rider app. The acceptable pickup temperature is 4°C or below for all chilled products and 0°C or below for frozen products.
If the temperature reading exceeds the acceptable threshold, the rider must reject the order at pickup and request the shop to repack with fresh, properly chilled product. The rider must also inspect the packaging for any signs of leakage, damage, or improper sealing. Any deficiency found during the handoff check must be documented in the rider app with a photograph and a brief description. The handoff is complete only when both the rider and the shop representative have confirmed the order transfer on their respective apps.
6. Quality Checks During Transit
During transit, the rider is responsible for maintaining the cold chain using the insulated delivery bag provided by FreshMeat4U. The insulated bag must be pre-cooled before the start of each delivery shift by placing ice packs or gel packs inside for at least 15 minutes. The bag must be kept closed at all times during transit, and the rider must not open sealed packages. The rider should avoid prolonged exposure of the delivery bag to direct sunlight, and should not leave the bag unattended in hot environments such as inside a parked vehicle.
The maximum allowed transit time from pickup to delivery is 30 minutes under normal conditions. If the rider anticipates a delay beyond 25 minutes due to traffic, route issues, or any other reason, they must notify the operations team through the app immediately. Orders that exceed 35 minutes in transit are automatically flagged for a mandatory quality check upon delivery. The rider must inform the customer of any significant delay and provide an updated estimated delivery time. The platform tracks rider location in real time, and the operations team monitors transit times proactively.
7. Customer Quality Complaints
FreshMeat4U is committed to addressing customer quality complaints with urgency and fairness. Customers who receive a product that does not meet quality expectations must report the issue within 30 minutes of delivery through the app's complaint feature or by calling +91 90161 80583. The 30-minute window is critical because meat quality deteriorates rapidly at room temperature, and complaints reported after this window cannot be reliably investigated.
Upon receiving a complaint, the customer is required to provide photographic evidence of the product showing the quality issue — such as discoloration, foul odor indicators, damaged packaging, or incorrect items. The customer support team acknowledges the complaint within 5 minutes and initiates an investigation. The investigation includes reviewing the order's quality logs (shop temperature records, handoff temperature reading, transit time), contacting the shop and rider for their accounts, and assessing the photographic evidence provided by the customer.
If the complaint is validated, the customer is offered a full refund or a free replacement on their next order, at their preference. The refund is processed within 5-7 business days to the original payment method. If the complaint is traced to the shop (e.g., substandard product or improper packaging), the shop is issued a warning or subjected to corrective action as per Section 9 of this SOP. If the complaint is traced to transit handling (e.g., delayed delivery causing temperature rise), the rider is flagged for retraining or performance review.
8. Rejection Criteria
The following conditions are considered immediate rejection criteria. If any of these conditions are observed at any stage — whether at the shop, during handoff, or upon delivery — the product must be rejected and not delivered to the customer:
- Discoloration: Any unnatural color change in the meat product, including greenish, greyish, or brownish patches on mutton or chicken, dull or cloudy eyes on fish, or darkening of the flesh that is inconsistent with the product type and age.
- Foul Odor: Any sour, putrid, ammonia-like, or otherwise unpleasant smell emanating from the product. Fresh meat should have a neutral or mild, characteristic smell appropriate to its type.
- Temperature Above 4°C: Any chilled product with a temperature reading above 4°C at handoff or any point during transit. Temperature is the single most critical indicator of meat safety, and any breach of the cold chain is grounds for immediate rejection.
- Damaged Packaging: Any tear, puncture, leakage, or unsealed condition in the product packaging. Compromised packaging exposes the product to contamination and renders it unsafe for consumption.
- Slime or Unusual Texture: Any slimy, sticky, or abnormally soft texture on the surface of the meat product, which is a clear indicator of bacterial growth and spoilage.
- Expired Product: Any product that has passed its use-by date or is within 24 hours of its use-by date at the time of packing.
9. Documentation & Logging
9.1 Daily Checklists
Every shop is required to complete and submit a daily quality checklist through the vendor app before beginning order fulfillment each day. This checklist covers opening hygiene verification, cold storage temperature readings, equipment functionality, food handler hygiene status, and packaging material inventory. The completed checklist is timestamped and stored in the platform's quality database. Incomplete or missing daily checklists trigger an automatic alert to the operations team and may result in the shop's order acceptance being temporarily suspended until compliance is restored.
9.2 Incident Reports
Any quality-related incident — including rejected orders at handoff, customer complaints, temperature breaches, or packaging failures — must be documented in an incident report within 1 hour of the incident occurring. The report must include the order ID, the nature of the incident, the stage at which it was detected, the individuals involved, photographic evidence if available, and the immediate corrective action taken. Incident reports are reviewed daily by the quality assurance team, and patterns are analyzed weekly to identify systemic issues that require process-level interventions.
All quality documentation, including daily checklists, temperature logs, incident reports, and complaint records, is retained for a minimum of 12 months and is made available to FSSAI inspectors upon request. Shops and riders are required to cooperate fully with any audit or investigation related to quality compliance.
10. Corrective Actions
FreshMeat4U employs a graduated corrective action framework to address quality non-compliance. The severity and frequency of the violation determine the level of corrective action applied:
- First Offense (Minor): A formal written warning is issued to the shop or rider via the platform and email. The warning details the nature of the non-compliance, the expected corrective behavior, and the consequences of repeated violations. The offending party must acknowledge the warning within 24 hours.
- Second Offense or Single Major Offense: Mandatory retraining is required. The shop owner or rider must complete a quality assurance training module — either in-person or through the platform's training portal — within 7 days. The individual must pass an assessment with a score of 80% or higher to resume full operations. During the retraining period, the shop's order volume may be temporarily reduced.
- Third Offense or Critical Violation: Temporary suspension of the shop or rider from the platform for a period of 7 to 30 days, depending on the severity of the violation. All pending orders are reassigned to other shops or riders. The suspended party must complete an enhanced retraining program and pass a rigorous reassessment before being considered for reinstatement.
- Repeated or Severe Violations: Permanent delisting or offboarding of the shop or rider from the FreshMeat4U platform. This action is taken for repeated non-compliance after multiple corrective actions, for any violation that poses a serious health risk to customers, or for fraudulent behavior such as falsifying temperature logs or quality records.
All corrective actions are documented in the vendor or rider's performance record and are considered in future performance reviews. The quality assurance team conducts a monthly review of all corrective actions taken to assess their effectiveness and to identify opportunities for systemic process improvements.
