SOP — Delivery & Rider Onboarding

1. Purpose

This Standard Operating Procedure (SOP) defines the comprehensive process for onboarding, training, managing, and evaluating delivery riders on the FreshMeat4U platform. The delivery rider is the most visible and critical touchpoint between the platform and the customer, and this SOP ensures that every rider meets FreshMeat4U's standards of professionalism, hygiene, safety, and service quality before they begin delivering orders.

This document also establishes clear expectations for rider conduct, performance benchmarks, incentive structures, and the criteria under which a rider may be suspended or offboarded. By standardizing the onboarding and management process, FreshMeat4U aims to deliver a consistent, reliable, and professional delivery experience to every customer in Vadodara.

2. Scope

This SOP applies to all individuals seeking to register as delivery riders on the FreshMeat4U platform, as well as all currently active riders. It covers the complete rider lifecycle from initial registration and document verification through training, activation, ongoing performance monitoring, and eventual offboarding. The procedures apply to all delivery zones within Vadodara city limits where FreshMeat4U operates.

This SOP is intended for use by the FreshMeat4U operations team, rider recruitment staff, and training coordinators. Riders themselves receive a simplified version of the relevant sections during their onboarding training. Independent contractors and third-party delivery agencies operating under agreement with FreshMeat4U are also required to comply with the standards set forth in this document.

3. Rider Registration Requirements

To register as a delivery rider on the FreshMeat4U platform, applicants must meet the following mandatory requirements without exception:

  • Valid Driving License: The applicant must hold a valid Indian driving license appropriate for the type of vehicle they intend to use for deliveries (two-wheeler or four-wheeler). The license must not have expired and must be free of any major traffic violations in the preceding 12 months.
  • Registered Vehicle: The applicant must own or have regular access to a vehicle that is in good working condition, with valid registration (RC), current insurance, and a valid pollution under control (PUC) certificate. The vehicle must be suitable for carrying insulated delivery bags and food products safely.
  • Government-Issued ID Proof: The applicant must provide a valid government-issued photo identification document — such as an Aadhaar card, PAN card, passport, or voter ID — for identity verification. The name and details on the ID must match the information provided in the application.
  • Background Check: All applicants must consent to a background verification process, which includes a criminal record check and address verification. Applicants with a history of violent offenses, theft, or fraud within the past 5 years will not be eligible for registration. The background check is conducted by a third-party verification agency engaged by FreshMeat4U.
  • Age Requirement: The applicant must be at least 18 years of age. Applicants between 18 and 21 years of age may be subject to additional review and parental/guardian consent may be required.
  • Bank Account: The applicant must have an active Indian bank account in their own name for receiving weekly payments and incentive payouts.
  • Smartphone: The applicant must own a smartphone (Android 10 or above, or iOS 14 or above) with a working internet connection, GPS capability, and sufficient storage to run the FreshMeat4U rider app.

4. Onboarding Process

The rider onboarding process consists of five sequential stages, each of which must be completed before the rider can be activated on the platform. The entire onboarding process is designed to be completed within 5 to 7 working days from the date of initial application.

Stage 1 — Application: The applicant downloads the FreshMeat4U rider app or visits the registration web page and submits the online application form with personal details, vehicle information, and uploaded copies of all required documents. The application form includes basic eligibility screening questions that immediately inform the applicant if they meet the minimum requirements.

Stage 2 — Document Verification: The FreshMeat4U operations team reviews the submitted documents for authenticity, validity, and completeness. This stage includes cross-verifying the driving license with the Parivahan database, confirming the vehicle registration and insurance status, and initiating the third-party background check. If any document is found to be invalid, expired, or fraudulent, the application is rejected, and the applicant is notified with specific reasons.

Stage 3 — Training: Applicants who pass document verification are invited to attend an in-person or video-based training session conducted by a FreshMeat4U training coordinator. The training covers all modules described in Section 5 of this SOP and typically takes 4 to 6 hours to complete, including practical exercises and assessments.

Stage 4 — Test Ride: After completing the training, the applicant must complete a supervised test ride. The test ride involves picking up a dummy order from a designated shop, following the app's navigation to a delivery point, and demonstrating proper handoff procedures. The training coordinator evaluates the applicant on route following, timely arrival, package handling, and customer interaction simulation.

Stage 5 — Activation: Applicants who successfully pass the test ride are activated on the platform. They receive their FreshMeat4U rider ID, insulated delivery bag, uniform shirt, and an initial supply of temperature probe covers and packaging seals. Their rider app is unlocked for receiving live order assignments, and they are added to the active rider rotation for their assigned delivery zone.

5. Training Modules

All rider training is structured around four mandatory modules, each designed to equip the rider with the knowledge and skills needed for safe, professional, and high-quality deliveries:

Module 1 — Platform Usage: This module covers the complete functionality of the FreshMeat4U rider app, including accepting and declining orders, navigating to shop and customer locations using the in-app GPS, updating order status at each stage, logging temperature readings, and using the in-app communication features to contact customers and the operations team. Riders learn to troubleshoot common app issues and understand the notification and alert system.

Module 2 — Hygiene Protocols: This module is dedicated to food safety and personal hygiene. Riders learn the proper handling of sealed food packages, the importance of maintaining the cold chain during transit, the correct use and maintenance of the insulated delivery bag, and hand hygiene practices including the use of hand sanitizer before and after each delivery. Riders are trained on what to do if they suspect a package has been compromised during transit.

Module 3 — Customer Interaction: This module covers professional communication and customer service skills. Riders learn how to greet customers politely, how to handle delivery confirmation and OTP verification, how to respond to customer questions about the order or the platform, and how to de-escalate difficult situations. The module also covers the importance of maintaining a professional appearance and demeanor at all times during deliveries.

Module 4 — Emergency Handling: This module prepares riders for unexpected situations, including vehicle breakdowns, accidents, aggressive customers, and product quality issues discovered at delivery. Riders learn the step-by-step protocol for each scenario, including who to contact, what information to provide, and how to ensure their own safety and the safety of the product. The module also covers basic first-aid awareness and the location of the nearest emergency services in each delivery zone.

6. Rider Responsibilities

Once activated, every FreshMeat4U rider is expected to fulfill the following responsibilities consistently and professionally:

  • Maintain Vehicle: Keep the delivery vehicle in good working condition with valid registration, insurance, and PUC at all times. Report any mechanical issues promptly and do not use a vehicle that is unsafe for road use.
  • Insulated Bag: Use the FreshMeat4U insulated delivery bag for every order without exception. Pre-cool the bag at the start of each shift, clean it after every delivery, and report any damage or wear to the operations team for prompt replacement.
  • Timely Delivery: Accept orders promptly, follow the app's optimized route, and deliver orders within the promised time window. Communicate proactively with the customer and the operations team about any delays or issues.
  • Professional Behavior: Maintain a courteous, respectful, and professional demeanor with customers, shop staff, and fellow riders at all times. Wear the FreshMeat4U uniform shirt during all delivery shifts. Do not engage in arguments, use inappropriate language, or behave in any manner that reflects poorly on the FreshMeat4U brand.
  • Compliance: Follow all traffic rules and regulations. Wear a helmet at all times when riding a two-wheeler. Do not use the phone while driving — pull over safely before interacting with the rider app. Comply with all platform policies, SOPs, and instructions from the operations team.

7. Delivery Standards

FreshMeat4U maintains strict delivery standards that every rider must adhere to on every order. These standards are designed to ensure product quality, customer satisfaction, and operational efficiency.

Packaging Handling: Riders must handle all delivery packages with care, avoiding rough handling, stacking heavy items on top of delicate packages, or placing the delivery bag on the ground or on dirty surfaces. The insulated bag must remain closed during transit and must only be opened at the customer's doorstep for order handoff.

Route Compliance: Riders must follow the route suggested by the rider app, which is optimized for the shortest and fastest delivery path based on real-time traffic data. Unauthorized deviations from the suggested route are not permitted unless directed by the operations team due to road closures, accidents, or other exceptional circumstances. Riders must not use the delivery trip for personal errands or stops.

Customer Communication: Riders must call the customer upon arriving at the delivery location and inform them of their arrival. The rider must wait for a maximum of 5 minutes at the delivery point. If the customer is not available, the rider must follow the non-delivery protocol as defined in the Order Fulfillment SOP. Riders must speak to customers in a polite and respectful manner, using the customer's preferred language when possible.

8. Hygiene Protocol

Maintaining impeccable hygiene is non-negotiable for every FreshMeat4U rider. The following hygiene protocols must be followed without exception during every delivery shift:

  • Hand Sanitizer: Riders must carry a personal bottle of alcohol-based hand sanitizer (minimum 60% alcohol content) at all times. Hands must be sanitized before picking up each order from the shop and before handing the order to the customer. Sanitizer must also be used after any contact with surfaces that may be contaminated.
  • Clean Clothes: Riders must wear a clean FreshMeat4U uniform shirt at the start of each shift. The uniform must be washed daily. Riders must maintain general personal hygiene, including trimmed nails, clean hands, and tidy hair. Open wounds or cuts on the hands must be covered with waterproof bandages before handling any delivery packages.
  • No Smoking During Delivery: Smoking is strictly prohibited while on a delivery shift. Riders must not smoke before, during, or between deliveries, as the odor can transfer to the insulated bag and the food packages, causing customer complaints. Violation of this rule may result in immediate suspension.
  • Bag Sanitization: The insulated delivery bag must be wiped down with a food-safe disinfectant at the start of each shift, after every delivery, and at the end of the shift. Any spillage inside the bag must be cleaned immediately. Ice packs and gel packs must be wiped clean and returned to the freezer for re-cooling. The bag must be stored in a clean, dry location when not in use.
  • Vehicle Cleanliness: The vehicle used for deliveries must be kept clean, particularly the storage area where the insulated bag is placed. The vehicle must not carry any non-food items that could contaminate the delivery environment, such as chemicals, garbage, or construction materials.

9. Performance Monitoring

FreshMeat4U continuously monitors rider performance through the following key metrics, which are tracked automatically by the platform and reviewed by the operations team:

  • On-Time Delivery Rate: The percentage of orders delivered within the promised delivery window. The target on-time rate is 95% or above. Riders consistently falling below 85% are placed on a performance improvement plan with weekly check-ins.
  • Customer Rating: The average rating given by customers on a 5-point scale after each delivery. The minimum acceptable average rating is 4.0. Riders with an average rating below 3.5 for two consecutive weeks are required to complete a customer service refresher training.
  • Order Completion Rate: The percentage of accepted orders that are successfully delivered to the customer. The target completion rate is 98% or above. A high rate of undelivered or returned orders indicates potential issues with route planning, customer communication, or reliability.
  • Acceptance Rate: The percentage of order assignments that the rider accepts. While riders are not required to accept every order, a consistently low acceptance rate (below 80%) may result in reduced order allocation during peak hours.
  • Temperature Compliance: The percentage of orders where the rider logged a pickup temperature within the acceptable range (4°C or below). Any pattern of logging temperatures above the threshold triggers a review of the rider's bag handling and pre-cooling practices.

Performance data is shared with each rider through a weekly performance dashboard accessible within the rider app. Riders who consistently meet or exceed all targets are recognized through the platform's rider appreciation program and may qualify for bonus incentives.

10. Rider Safety Guidelines

FreshMeat4U places the highest priority on the safety of its delivery riders. All riders must adhere to the following safety guidelines at all times:

  • Wear a DOT/ISI-certified helmet at all times when operating a two-wheeler. Helmets with a clear visor are preferred for night deliveries.
  • Follow all traffic rules, including speed limits, lane discipline, traffic signals, and no-entry zones. Under no circumstances should a rider exceed the posted speed limit, even to meet a delivery deadline.
  • Do not use the mobile phone while riding or driving. Pull over to a safe location before checking the app, accepting orders, or making calls.
  • In case of an accident or vehicle breakdown, move to a safe location, contact the operations team immediately through the app's emergency button, and follow the emergency handling protocol taught during training.
  • Avoid delivering to isolated or poorly lit areas after 9:00 PM. If a delivery location feels unsafe, the rider may request a buddy delivery (two riders traveling together) or ask the operations team to reschedule the delivery for the next day.
  • Carry a basic first-aid kit in the vehicle at all times and know the location of the nearest hospital or medical facility in their primary delivery zone.
  • Maintain the vehicle's lights, brakes, tires, and mirrors in excellent condition. Conduct a brief vehicle safety check at the start of each shift.

11. Incentive Structure

FreshMeat4U offers a transparent and competitive incentive structure designed to reward high-performing riders and motivate consistent service quality. The incentive program operates on a weekly cycle and includes the following components:

  • Base Delivery Fee: Riders earn a fixed amount per successful delivery, which varies based on the delivery distance and order value. The base fee is clearly displayed in the rider app for each order before acceptance.
  • Peak Hour Bonus: During designated peak hours (lunch: 11:00 AM to 2:00 PM, and dinner: 6:00 PM to 9:00 PM), riders receive an additional bonus on top of the base delivery fee for each order completed within the peak window.
  • Weekly Streak Bonus: Riders who complete a minimum of 40 deliveries in a week with a 95% on-time rate and a customer rating of 4.5 or above receive a weekly streak bonus. Higher tiers of streak bonuses are available for riders exceeding 60, 80, or 100 deliveries per week.
  • Referral Bonus: Riders who successfully refer new riders to the platform receive a one-time referral bonus after the referred rider completes their first 20 successful deliveries.
  • Customer Tip: Customers may choose to add a tip to their order, which is passed on to the rider in full. Tips are processed along with the rider's weekly payout.

Payouts are processed weekly, every Monday, for the earnings accumulated in the previous week (Monday through Sunday). Payouts are transferred directly to the rider's registered bank account. Riders can view their earnings breakdown, including base fees, bonuses, and tips, in the rider app at any time.

12. Suspension / Offboarding Criteria

FreshMeat4U reserves the right to suspend or permanently offboard riders who violate platform policies, fail to meet performance standards, or engage in behavior that is detrimental to the platform, its customers, or its partners. The following are grounds for suspension or offboarding:

  • Temporary Suspension (1 to 7 days): Accumulating more than 3 customer complaints within a single week, failing to complete the customer service refresher training after being flagged, or being involved in a minor traffic violation while on a delivery shift.
  • Extended Suspension (7 to 30 days): A second instance of extended suspension within a 6-month period, consistent on-time delivery rates below 80% for two consecutive weeks, or failing to maintain vehicle documentation (expired license, insurance, or PUC) after being notified.
  • Permanent Offboarding: Any form of theft, fraud, or deliberate tampering with food products; physical or verbal abuse of a customer, shop staff, or fellow rider; driving under the influence of alcohol or drugs while on a delivery shift; providing fraudulent documents during registration; or accumulating three or more suspensions within a 12-month period.

Before any suspension or offboarding action, the rider is given an opportunity to provide their account of the situation through a fair hearing process with the operations team. The rider receives written communication detailing the reason for the action, the evidence considered, and the duration or permanence of the action. Riders who have been offboarded may reapply after 6 months, subject to a fresh registration and background verification process.
